The SmartFlow web app has the following changes from August, 2026.

New: Whiteboard views (24 August, 2026)

A whiteboard view is a saved, named combination of whiteboards. The whiteboard screen shows a view as one whiteboard. Use a view to monitor the patients of more than one whiteboard at the same time. As a result, you do not configure the whiteboard each time. A view keeps these settings together:
  • The whiteboards that the view includes
  • The sequence of the patients
  • The view mode (for example, timeline or workflow)
  • If the Care details column shows
A practice manager adds and changes the views in the Whiteboards settings page. To show a view, select the Select a view button at the top of the whiteboard screen.

A view can also use manual sorting. In a view that uses manual sorting, you can move one patient at a time to a different position in the sequence. The view automatically saves the sequence, and the other staff that use the view see the new sequence.

New: Patient colors (24 August, 2026)

A patient color is a color that has a label from your organization. Give a color to a patient to show the patient's status or importance on their patient card. Previously, SmartFlow supplied a set of colors that had no labels.

A practice manager configures the colors in the Custom Colors settings page. The practice manager can add a maximum of 10 colors and give a label to each color. Then, when staff give a color to a patient, they select from the colors of your organization. If staff hold the pointer on a color, SmartFlow shows the label of the color.

A whiteboard can show a color legend. The legend shows the label of each color. As a result, staff know what a patient's color means. To show the legend, select the four squares button in the lower-right corner of the screen. You can also sort a whiteboard by patient color to show the most important patients first.

New: Patient care details (24 August, 2026)

A patient card in a whiteboard can show a Care details column. To show or hide the column, use the Whiteboards settings page. You can show or hide the column for each whiteboard and for each view. The column shows this information for each patient:
  • Attendee - the initials of the staff member that attends to the patient, to a maximum of three characters
  • Demeanor - the demeanor of the patient, which you select from the values that are available
  • FAS score - the FAS score of the patient, a number from 0 to 5
Note: The demeanor is not the same as the demeanor in your PIMS. FAS is the Fear, Anxiety, and Stress scale.

Change: New whiteboard configuration (24 August, 2026)

The Whiteboards configuration page has a new features and a new design. Use the page to:
  • Sort each whiteboard independently of the hospital's global sort setting, using a primary and secondary sort.
  • Make whiteboard views that allow you to manually drag and drop patients into a specified order

Change: Different colors for workflow task statuses (24 August, 2026)

Workflow tasks have a new design and new colors. The colors show the status of each task. There is no change to the function of workflow tasks.

You can change the order of patients in whiteboards.
