Release notes (SmartFlow web app): August 2026

The SmartFlow web app has the following changes from August 2026.

New: User export (August 28, 2026)

You can export the staff members of your site from the User management page. The page header has a new More actions menu that holds Export and Import. Previously, Import was a different button. Export downloads a CSV file of all your staff members. The file contains this data for each staff member:

  • The first name and the last name
  • The email address
  • The permissions
  • If the staff member is enrolled in training

The file uses the format that the import accepts. As a result, you can move a group of staff members to a different site. Export is not available when the page shows no staff members. In the User management and Lists tables, you can also select a row to open its change window. The row menus show an icon at the side of each item.

Change: August 26, 2026

When you change the email address of a staff member in User management, SmartFlow shows a message before it saves the change. The message tells you that login information goes to the new address. You can cancel the message and go back to the form, and SmartFlow keeps your changes. If you accept the message, SmartFlow sends an account setup email to the new address of an active staff member. The page then tells you that it sent the setup instructions. The staff member completes the password and the iPad passcode from that email. A deactivated staff member receives the setup email when you activate the account.

New: Whiteboard views (August 24, 2026)

A whiteboard view is a saved, named combination of whiteboards. The whiteboard screen shows a view as one whiteboard. Use a view to monitor the patients of more than one whiteboard at the same time. As a result, you do not configure the whiteboard each time. A view keeps these settings together:
  • The whiteboards that the view includes
  • The sequence of the patients
  • The view mode (for example, timeline or workflow)
  • If the Care details column shows

A view can also use manual sorting. In a view that uses manual sorting, you can move one patient at a time to a different position in the sequence. The view automatically saves the sequence, and the other staff that use the view see the new sequence.

New: Patient colors (August 24, 2026)

A patient color is a color that has a label from your organization. Give a color to a patient to show the patient's status or importance on their patient card. Previously, SmartFlow supplied a set of colors that had no labels.

A practice manager configures the colors in the Custom Colors settings page. The practice manager can add a maximum of 10 colors and give a label to each color. Then, when staff give a color to a patient, they select from the colors of your organization. If staff hold the pointer on a color, SmartFlow shows the label of the color.

A whiteboard can show a color legend. The legend shows the label of each color. As a result, staff know what a patient's color means. To show the legend, select the four squares button in the lower-right corner of the screen. You can also sort a whiteboard by patient color to show the most important patients first.

New: Patient care details (August 24, 2026)

A patient card in a whiteboard can show a Care details column. To show or hide the column, use the Whiteboards settings page. You can show or hide the column for each whiteboard and for each view. The column shows this information for each patient:
  • Attendee - the initials of the staff member that attends to the patient, to a maximum of three characters
  • Demeanor - the demeanor of the patient, which you select from the values that are available
  • FAS score - the FAS score of the patient, a number from 0 to 5
Note: The demeanor is not the same as the demeanor in your PIMS. FAS is the Fear, Anxiety, and Stress scale.

Change: New whiteboard configuration (August 24, 2026)

The Whiteboards configuration page has a new features and a new design. Use the page to:
  • Sort each whiteboard independently of the hospital's global sort setting, using a primary and secondary sort.
  • Make whiteboard views that allow you to manually drag and drop patients into a specified order

Change: Different colors for workflow task statuses (August 24, 2026)

Workflow tasks have a new design and new colors. The colors show the status of each task. There is no change to the function of workflow tasks.

You can change the order of patients in whiteboards.

Fix: August 24, 2026

The Fluids (New) section of a flowsheet stays in the page when you open the editor for a fluid that you added. SmartFlow calculates the fluid deficit correctly from the patient weight. If a problem occurs, only the Fluids (New) section shows this message: Something went wrong displaying Fluids (New). Refresh the page to retry. Previously, the section could go away, or the page could stop.

Note: New Fluids is a pilot feature and is only available for Early Adopters customers. For more information about New Fluids, go to Get started with New Fluids.

New: List item descriptions (August 21, 2026)

You can add an optional description to an item in these Lists tables:

  • Problem
  • Procedure
  • Medication Dosage Measure
  • Medication Dosage Volume
  • Concentration Measure
  • Concentration Volume
  • Additives
  • Additives Measure
  • Medication Route

Enter the description when you add an item, or change the description subsequently. The description shows as a column in the table, and the search box finds the text of a description. The CSV export and the upload template contain a Description column. A CSV import can put descriptions into a table. An empty description in the file keeps the description that the item has. A file that has no Description column imports as before. Import and Export are in a new more-actions menu in the table header. The Cleanup operation is not available in this page, because IDEXX removes duplicate items as an internal operation.

Fix: August 21, 2026

When you remove a multi-day fluid treatment from one day, SmartFlow removes the treatment from all of its days. The other days in the flowsheet show the change immediately. Previously, SmartFlow removed only the day that you looked at and the days after it.

Change: August 20, 2026

The settings page shows each whiteboard View that you saved below the whiteboards. You can configure how the patient card looks for each View. A View that has no layout uses the All Whiteboards setting. The page shows a hint while this occurs. When you select a View on a whiteboard, the patient cards use its layout. Previously, the page showed only the whiteboards. Also, a View replaced the layout with a standard one.

New: Safe dosage range (August 19, 2026)

The configuration window for medications have a Safety alerts section. In this section, you can enter a Warn if below dose and a Warn if above dose. The Enable safety alerts toggle controls if SmartFlow shows the messages.If you clear this toggle, SmartFlow keeps the doses that you entered. The icons in the Acceptable routes field also have a new look.

Fix: August 19, 2026

When you open a medication that has a Give once cadence, the Continue every field shows Give once. Previously, the field showed 4 hour.

You cannot change the inventory mapping in the medication settings screens. If a medication is connected to an inventory item in your PIMS, the name of that item shows as information that you cannot change. This information shows below the medication name. The Dispensing machine setting shows only for medications that are connected. You can also select the Display name of a medication to open the window where you change it.

Note: The medication settings change is part of a pilot feature and is only available for some customers. All customers will receive the change at a later date.

Fix: August 7, 2026

In the Lists Management settings page, you can remove a maximum of 1000 items at one time. If you select more than 1000 items, SmartFlow shows a message that tells you to remove the items in smaller groups. Previously, an operation to remove a very large number of items could continue for many minutes and then stop with an error.
