Settings of the SmartFlow integration

The SmartFlow integration has settings that you can use to control how ezyVet operates with SmartFlow. It is important that you know about the function of each setting.

SmartFlow integration settings to connect ezyVet with SmartFlow

The SmartFlow integration has settings that you can use to connect an ezyVet site with SmartFlow:

This table gives each setting and its function:

Integration Use Integration to select the applicable SmartFlow integration.
Note: After you save the integration settings, you cannot change the integration that you selected.
For Division
Use For Division to select the applicable department of the integration.
Note: Department selection is only necessary if your ezyVet site has a department configuration.
Integration Key
Use Integration Key to enter a SmartFlow API key. ezyVet uses the API key to connect your ezyVet site to SmartFlow.
Note: Do not change the API key of a configured SmartFlow integration. If you change the API key, the SmartFlow integration cannot operate.

SmartFlow integration settings for information sync

The SmartFlow integration has settings that you can use to configure information sync between ezyVet and SmartFlow :

This table gives each setting and its function:
SettingFunction
Sync Treatment Type?Sync Treatment Type? shows different treatment types. You can configure how SmartFlow and ezyVet sync the information of each treatment type. The treatment types that you can configure are:
  • Monitoring
  • Activity
  • Fluid
  • Medication
  • Procedure
  • Agent
  • Task
AllIf you select All, SmartFlow syncs the information of a treatment that you recorded to the Health Status section of a clinical record.
Note: If you select All for a treatment type that is not Monitoring (for example, Activity), SmartFlow syncs the information that you recorded to the Notes column of the Health Status section.
BillableIf you select Billable, and a practice manager set ezyVet Events to Yes for a parameter in SmartFlow:
  • SmartFlow syncs the information of a treatment that you recorded to the applicable ezyVet clinical record
  • The invoice that is related to the clinical record shows line items for the treatments that you used SmartFlow to record
NoIf you select No, SmartFlow does not sync information of a treatment that you recorded for the applicable treatment task to ezyVet.
Can RemoveUse Can Remove to control if ezyVet automatically removes treatment task values of SmartFlow from ezyVet clinical records.
If these conditions agree, ezyVet automatically removes a treatment task value from a clinical record as a result of a sync from SmartFlow to ezyVet:
  1. You select Can Remove for a treatment type
  2. In SmartFlow, you remove a treatment task value for a treatment of the treatment type
If these conditions agree, ezyVet does not automatically remove a treatment task value from a clinical record as a result of a sync from SmartFlow to ezyVet:
  1. You do not select Can Remove for a treatment type
  2. In SmartFlow, you remove a treatment task value for a treatment of the treatment type
Set SFS Image as Master Image on AnimalUse Set SFS Image as Master Image on Animal to control how SmartFlow syncs images to patient records in ezyVet.
If these conditions agree, ezyVet uses the image that you added to a SmartFlow patient profile as the primary image in the related ezyVet patient record:
  1. You set Set SFS Image as Master Image on Animal to Yes
  2. You add an image to a patient profile in SmartFlow
If these conditions agree, ezyVet uses the image that you added to a SmartFlow patient profile as the primary image in the related ezyVet patient record:
  1. You set Set SFS Image as Master Image on Animal to Only if it doesn't exist
  2. An ezyVet patient record does not have a primary image
  3. You add an image to the related patient profile in SmartFlow
If these conditions agree, ezyVet does not use the image that you added to a SmartFlow patient profile as the primary image in the related ezyVet patient record:
  1. You set Set SFS Image as Master Image on Animal to No
  2. You add an image to a patient profile in SmartFlow
Do Not Send Patient CodeIf you set Do Not Send Patient Code to No, ezyVet syncs the patient record number to SmartFlow when you sync their clinical record.

If you set Do Not Send Patient Code to Yes, ezyVet does not sync the patient record number to SmartFlow when you sync their clinical record.

Send "Sync with Cubex" Product FlagYes — When you save a product in ezyVet, ezyVet sets CUBEX billing on the applicable SmartFlow parameter to match the product's Sync with Cubex setting: on when the ezyVet setting is selected, off when it is not.
Tip: If you change Sync with Cubex later, SmartFlow changes with it.

No — the two settings are independent. You can set CUBEX billing on a SmartFlow parameter and Sync with Cubex on an ezyVet product separately, and changes in ezyVet do not apply to SmartFlow.

Smart Flow Sheet Default UserSmart Flow Sheet Default User has no function. Do not use it.
Default Estimated Days Of StayUse Default Estimated Days Of Stay to control the number of flowsheets that SmartFlow automatically makes when you sync a clinical record to SmartFlow. You can select a value between one and 20.
The SmartFlow integration has settings that you can use to configure how ezyVet uses appointment information to sync information from ezyVet to SmartFlow:

Automatically send to Smart Flow on statuses If you set Automatically send to Smart Flow on statuses to ON, ezyVet shows more settings.

If you set Automatically send to Smart Flow on statuses to OFF, you cannot use appointment statuses to automatically sync clinical records to SmartFlow.

Show Flowsheet Options Pop-up on SendIf you select Show Flowsheet Options Pop-up on Send, ezyVet shows the Create Flowsheet for dialog box when you sync a clinical record to SmartFlow.
Check-In Appointment Type(s)Use Check-In Appointment Type(s) to select an ERROR - unresolved reference (glossary-appointment-type). If a staff member selects the appointment type during their work, ezyVet automatically syncs the clinical record of the appointment to SmartFlow. For example, a staff member could select the appointment type when they make an appointment. As a result, ezyVet syncs the applicable clinical record to SmartFlow.
Note: To add more appointment types, select the green plus button:

Check-In Appointment Status(es)Use Check-In Appointment Status(es) to select an ERROR - unresolved reference (glossary-appointment-status). If a staff member selects the appointment status during their work, ezyVet automatically syncs the clinical record of the appointment to SmartFlow. For example, a staff member could select the appointment status when they make changes to an appointment. As a result, ezyVet syncs the applicable clinical record to SmartFlow.
Tip: To add more appointment statuses, select the green plus button:

Check-Out Appointment Status(es)Use Check-Out Appointment Status(es) to select an appointment status. If a staff member selects the appointment status during their work, ezyVet automatically discharges the patient of the appointment from SmartFlow. For example, a staff member could select the appointment status in a calendar appointment when they discharge a patient. As a result, SmartFlow also discharges the patient.
Tip: To add more appointment statuses, select the green plus button:

Unexpected invoice line items

In SmartFlow, you can configure a flowsheet item, or one administration of the item, as not billable.

If you select Billable for the treatment type of the item in the ezyVet integration settings, ezyVet does not invoice the item.

If you select All for the treatment type of the item in the ezyVet integration settings, ezyVet syncs each value that you record for the treatment type. As a result, ezyVet adds line items for the item to the applicable invoice. The configuration of the item in SmartFlow does not prevent ezyVet from invoicing the item.
