RxWorks automatically makes more visits
If RxWorks makes more visits after you sync a patient to SmartFlow, do these troubleshooting steps.
A practice manager enabled the Import to Vet setting
If a practice manager enabled the Import to Vet setting when they configured the SmartFlow integration, RxWorks does a check of each charge that SmartFlow sent. It checks each charge for the medic ID and looks for a visit with the same ID. If RxWorks cannot find a visit with the same ID, it automatically makes a new visit.
You did not complete a visit
If a practice manager configured RxWorks so that charges are automatically added to completed visits, but you did not complete a visit, RxWorks can automatically make a new visit.
You added a product to a flowsheet for a period before you admitted the patient
When you use RxWorks to sync a patient to SmartFlow, you can select the start time. After you admit the patient, you can add products to the SmartFlow flowsheet. SmartFlow automatically syncs the invoice information of each product to RxWorks. If you add a product at a period before you admitted the patient, RxWorks automatically makes a visit for that period.
For example, you admit a patient to SmartFlow at 1:30 PM. Then, you use the flowsheet to record a medication that you gave to the patient at 12:00 PM. When SmartFlow syncs the information to RxWorks, RxWorks automatically makes a new visit.
You did not select the current time when you configured the consultation record
When you confiugre the consultation record, you can select the start time of the consultation. If you do not select a start time, RxWorks automatically uses 12:00:00 AM. As a result, when you admit the patient to SmartFlow the flowsheet has the incorrect start time.
You discharged the patient from SmartFlow the day after you sent the patient home
If you download the SmartFlow reports and discharge the patient from SmartFlow the day after you sent the patient home, RxWorks automatically makes a visit for that day.
To prevent RxWorks from making a visit, you should discharge the patient on the same day that send the patient home.
