Medication configuration settings

The medication configuration settings control how your staff can schedule and complete medication treatments. A practice manager configures them for each medication in SmartFlow settings.

When you select a medication in SmartFlow settings, SmartFlow shows a window that has settings that control each treatment that uses the medication.

In the window, a practice manager can configure:
  • The name of the medication
  • What staff enter when they complete a treatment task for the medication
  • The concentration of the medication
  • The routes that staff can select
  • Instructions for staff
  • If SmartFlow records the medication quantity for invoices

Table 1. Settings of the medication window
SettingFunction
NameThe name of the medication. SmartFlow shows this name in flowsheets and in the title of the window. Put the concentration first and use the full name of the medication. For example, 10 Hydromorphone, not Hydromorphone.
Picker typeWhat staff enter when they complete a treatment task for the medication:
  • Initials: Staff enter their initials, and SmartFlow uses the value in the Total dose box of the treatment settings for the invoice quantity
  • Numeric: Staff enter a number, and SmartFlow uses the number and the unit of measurement in the treatment settings for the invoice quantity
  • Dropdown: Staff select one of the options that a practice manager enters in the Dropdown options boxes
Dropdown optionsSmartFlow shows this setting only when Picker type is Dropdown. Each box holds one option that staff can select. You can:
  • Select Add option to add a box for a new option
  • Move an option up or down with the move icon adjacent to it
  • Remove an option with its remove button
ConcentrationThe quantity of medication in each unit of volume. The first box is the value, the second box is the measure (for example, mg), and the third box is the volume (for example, ml). SmartFlow uses the concentration to calculate the total volume of a dose.
Acceptable routesThe routes that staff can select for the medication. Staff cannot select a route that is not in the list. You can also select one of the routes as the route that SmartFlow selects automatically.
InstructionsGuidance for staff about the medication. SmartFlow shows the instructions in the treatment settings of the medication and in the treatment task. These instructions are different from treatment instructions, which staff enter in a flowsheet.
BillingWhen Billing is On, SmartFlow records the medication quantity in the Billing report. If your SmartFlow site connects to your PIMS, SmartFlow does not show Billing. It shows Events with the name of your PIMS (for example, ezyVet Events).
Enable safety alertsTurns the dose warnings on or off for the medication. When it is On, SmartFlow shows the Safety alerts section.

Safety alerts

Note: Medication safety alerts are only available for some customers at this time.

The Safety alerts section holds the safe dose ranges of the medication. A safe dose range is a minimum dose and a maximum dose. SmartFlow compares the dose that staff enter against the range for the species of the patient.

Table 2. Settings of the Safety alerts section
SettingFunction
Default safe rangeThe dose range for all species.
Warn if belowThe minimum dose. If a dose is less than this value, SmartFlow shows a warning.
Warn if aboveThe maximum dose. If a dose is more than this value, SmartFlow shows a warning.
The trash buttonRemoves the rule from the medication. You can remove the Default safe range and the rules that you add.
Add new ruleAdds a dose range for one species, or for one species and one route. For example, a medication can have one dose range for dogs and a different dose range for cats.

A dose range is a quantity for each unit of body weight (for example, mg/kg) or a quantity for each animal.

Limitations of safety alerts

A safety alert does not prevent the treatment. Staff can enter a dose that is below the minimum or above the maximum, then continue with the treatment.

When Enable safety alerts is On, you can select only a core measure and a core volume in the Concentration boxes. Core measures and core volumes are the standard items that IDEXX adds to the lists of your organization. You cannot remove them.

If your organization uses international units (IU) for the invoices and the doses of a medication, enter this value in the Concentration boxes: 1 IU / IU
