About SmartFlow user accounts and sign-in
Learn about why it is necessary for a practice manager to make a different SmartFlow user account for each staff member.
Each staff member gets access to SmartFlow and SmartFlow university independently of other staff members.
You must make a user account for each staff member. Staff members receive their sign-in information to their email address. And they can use their sign-in information to get access to SmartFlow and SmartFlow university.

Roles and permissions
You control the roles and applicable permissions for each user account. When you make a user account, you can give staff members access to different areas of SmartFlow that are necessary for their role.
- Know which staff member made changes to a patient flowsheet
- Know which staff member made changes to account settings
- Stop unnecessary changes
- Add or change access for a staff member
- Remove access for a staff member
- You cannot know which staff member was signed-in when changes occurred
- You could not give access to different areas of SmartFlow for different staff members
- You cannot remove access for one staff member. And when you do not want a staff member to have access, you must change the user account password
Easier troubleshooting
When each staff member has a user account and uses it to sign-in, it makes it easier for SmartFlow to do troubleshooting if there is a problem. For example, if there is a problem with the system when one staff member is signed-in, or if a staff member made changes to a patient's flowsheet.
If staff members signed in with the same user account as other staff, it is difficult to know which staff members made changes and when the changes were made.
SmartFlow university
SmartFlow university has different training courses for different roles in an organization. You must make a user account for each staff member. Staff members receive their sign-in information to their email address. And they use their sign-in information to get access to their applicable training course.
- Sign-up each staff member to their applicable training course
- Do a check of a staff member's training status
- Do their training independently
- Complete their applicable training
- Sign in to their SmartFlow university account to get access to training content again
- Use a training course link in their email to sign-in
If staff members signed-in with the same user account as other staff members, only one staff member at a time can complete a training course. As a result, other staff members must wait to complete their training.
