About RxWorks version 4.9 and the SmartFlow integration

Changes to the user interface

After a practice manager configures the SmartFlow integration, RxWorks shows three new buttons in the button bar.

Nomenclature

A visit is a collection of one or more consultations. A visit can have one of two statuses:
  • Complete
  • Incomplete

When you make a visit, the visit has the Incomplete status. You normally complete the visit when you save the visit and select the checkbox when you make the invoice.

Business rules:
  • A visit is incomplete until you select the checkbox and save the visit
  • You cannot admit the patient if a person already admitted the patient
  • It is not mandatory to download patient reports
  • The reports are attached to a consultation with today's date if one exists otherwise it will be generated
  • RxWorks automatically attaches the reports to the applicable consultations with today's date if it exists, otherwise RxWorks automatically makes the date
  • You can discharge a patient even if you have not completed the visit or downloaded the reports
  • When you discharge a patient, RxWorks does not automatically download and attach the reports

Use RxWorks to admit a patient to SmartFlow

You can use the Summary words field at to select a problem of the SmartFlow problem list .These are values that allow the SmartFlow to make a flowsheet from RxWorks.

When you admit a patient, the consultation record must have today's date and the patient's weight. If necessary, a practice manager can configure the field validation rules to make patient weight a mandatory setting in RxWorks.But if you change the field validation rules, it is not mandatory to record a patient weight if you make a consultation record from the clipboard.If you admit a patient that has a visit that you did not complete, RxWorks shows a dialog box. You can use the dialog box to connect the admission with the other visit, or make a new visit.

Typically all visits are completed in a clinic, and this dialog is never seen however a patient may present for a consultation and after examination is immediately admitted, and this dialog would be shown and continue treatment would be the correct option but if a clinic has an old incomplete visit for the patient it would make more sense to select Create New Visit option and clean up the old incomplete visit by finalising it.

RxWorks and SmartFlow integration scenarios

Scenario 1: A client brings their pet to your clinic and you must admit the patient.

You use the find function to find the patient, then select Admit. RxWorks shows the Add consultation form. You can use the form to make a visit. Then you can use the Admit Patient form to record provider specific information. After you complete the form, RxWorks is admitted to SmartFlow.

Scenario 2: You completed a patient's treatments, and you must download the SmartFlow reports.

You can use either do a search for the patient or use the Admitted patients tab of the Recently viewed screen. Then select Reports, and RxWorks downloads the reports and patient image and attaches them to a consultation with today's date. If you must admit the patient for more than one day, RxWorks automatically makes a consultation if one doesn't already exist with today's date. You must make an invoice before you discharge a patient.
Note: You can complete the visit and make the invoice at any time because there are dependencies between when you admit the patient and make the visit.

Scenario 3: You must admit an outpatient to SmartFlow as an animal minding service.

A pet owner brings their pet to your clinic for outpatient treatments (for example, a vaccination) and they must leave their pet with you for a time. You have completed the treatment and made the client has paid the invoice. Therefore, you completed the visit. But RxWorks has a consultation record with today's date. As a result, you can admit the patient to SmartFlow and you do not have to make another visit or consultation record. You can use the SmartFlow whiteboard to record the patient's location until the patient owner collects the patient.

Available values from the SmartFlow repository

The Summary Words are stored against the visit and sent to SmartFlow with the:
  • Treatment template
  • Department
  • Patient color

RxWorks maps common attributes from the RxWorks repository to SmartFlow. As a result, it is not necessary to manually record the patient's information in SmartFlow again. After you admit the patient to SmartFlow, your browser automatically shows the patient sheet in a new browser tab.SmartFlow

Downloading patient reports

After you admit a patient to SmartFlow, you can download the patient's SmartFlow reports. If you add an image to the patient record in SmartFlow, RxWorks automatically downloads the image and attaches it to the RxWorks consultation with the applicable date. RxWorks automatically makes a consultation with the applicable date for each day that the patient is admitted.

Note: If you made a consultation for the patient before with today's date,RxWorks does not make another consultation record.

After you download the SmartFlow reports, the Reports button changes color. The color change identifies that you downloaded the reports. If necessary, you can select the Reports button to download the reports again. After you finalize an anesthetic sheet in SmartFlow, you can download the Anesthetic Records report.

Note: If necessary, you can remove the SmartFlow reports after you attach them to the consultation.

Discharge a patient

You can use RxWorks to discharge a patient from SmartFlow. After you discharge a patient:
  • The buttons of the ribbon bar show an orange background
  • You cannot use RxWorks to get the patient's SmartFlow reports

Admitted patients

To show a list of patients that you admitted to SmartFlow, select the button in the bottom left-hand corner of the RxWorks app, and select the Admitted tab.
